If you’re looking to learn to export data from Pipedrive, you’ve come to the right place.
In this post, we’ll go through how to get your Pipedrive contacts and deals and save them in a form that’s easy to deal with.
We will use Contacts as the example, but deals work the same way.
Exporting Contacts from Pipedrive
You can export all contacts in your CRM or individual contacts using complex rules or simple selection.
To get started, click on the Contacts icon in the Pipedrive menu.
Creating filters using pre-built options or the Pipedrive rules engine
From here, click on your name in the upper right corner, and navigate to Filters.
If you click on Add new filter, you can leverage a robust rules engine to filter the list down to the contacts you want to download.

Returning to the main Contact screen.
The checkboxes to the left of each contact allow you to select one or more contacts, and in the checkbox, you can choose All at the top of the column.
Select a couple of contacts. When you have selected the contacts you want to export, click on the three-button menu.
The three-button menu opens to show options, including the Export Filter Results option.
How do you export from Pipedrive?
We are so close to the final step. When you choose the export option, a new window opens.
You will be able to export to XLS (Microsoft Excel) or CSV (comma-separated values).
Choose the option you want and choose Export.
That’s it; you now have the data you need.
One of your primary paths to revenue is the sales meeting, so we want to write a how-to for each vendor that has given us access to their platforms, How-Tos that cover how to do so effectively with each platform. This article will dig into running effective sales meetings using Pipedrive.
Note: To use Pipedrive effectively for your sales meetings, you will use the Advanced plan (not Essentials). Advanced is required to leverage Pipedrive’s email integration which is, in our opinion, a must.

Sales meetings have three primary stages: Preparation, Delivery, and Follow-up. Let’s cover each of these stages using Pipedrive.
For this article, we only focus on aspects of meeting preparation related to the application; other vital processes are not discussed here.
Preparing For Effective Sales Meetings Using Pipedrive
Effective meeting preparation should include organizing the files and presentations you plan to share during the sales meeting.
It should also include having easy access to the content you need due to unexpected questions.
Let’s look at both.
Pipedrive is a CRM system — not optimized for the file organization aspects like a Sales Content Management System. However, files can be added to Deals and shared with prospects during any phase of the sales meeting workflow.
On the deal screen, navigate to Files and upload any content you need for this Deal (using sample data provided by Pipedrive).
Note: We are not using the Smart Docs capability for creating data-driven documents for this article. We will explore this in a future article.
Pipedrive is a great CRM system, we use it ourselves. However, for this use case, it is on the light side in comparison to Enablement platforms focused on this use case. However, if you are a Pipedrive user, without access to an Enablement platform, you can still create a good experience for your prospect, let’s continue.
Delivering Effective Sales Meetings Using Pipedrive
With Pipedrive, you can send an email to your prospect with the files you want to share during the meeting.
Why take this approach?
When you configure your email set up in Pipedrive, you can configure Email tracking options.
These Email Tracking options allow you to:
- Track email opens.
- Track the opening of links in the email (such as files you shared).
Note: Pipedrive does not have a strong solution for sharing file content within the application — you need to ensure files being sent to prospects are in common formats so they can open them on their side. This should not be a problem as common file types include PDFs, and video files such as MP4, and Microsoft Office documents.
From the Deal, navigate to email and you will see a screen like this one. Note that I have already chosen a template and used the paperclip icon at the bottom left of the email screen to upload two files.
You should also notice that you have to click on the eye icon and the arrow pointing left to get email tracking and link tracking turned on, respectively, for this email.
Note: One thing Pipedrive does extremely well is integrating your email directly into Pipedrive, keeping you directly in the CRM system for working on all of your deals.
Meeting Following Up With Pipedrive
The Meeting follow-up from Pipedrive continues in the same manner as the meeting preparation, discussed above.
You should send a follow-up to summarize your meeting, perhaps share additional files the buyer is looking for, and continually track opens as you are doing so to understand what most interests your buyer.
Summary
Pipedrive is a CRM, not a sales experience or enablement platform. However, if you are already using this CRM system, it can be used, as discussed in this article, to help you work effectively with your clients.
If you are running sales meetings using Pipedrive, you can find success. Still, you are best served using the CRM and integrating it with other platforms specializing in meeting engagement aspects of your selling activities.
